• Task and output: describe what moves, what is observed or what must be completed, including the current process.
• Environment: site country, indoor or outdoor use, floor conditions, access, temperature, dust and shared working areas.
• Physical requirements: payload, reach, dimensions, tooling, travel distances and duty cycle.
• Integration: existing controls, production equipment, network and data systems, plus any access restrictions.
• Commercial boundaries: budget envelope, intended schedule, procurement requirements and the team that will operate the system.

The quotation should identify the selected equipment, agreed integration work, assumptions, exclusions and acceptance criteria. Manufacturer terms, availability, shipping arrangements and warranty coverage require confirmation before an order. No live stock or immediate delivery is implied.

Robot hardware may need end effectors, sensor payloads, charging equipment or software licences. Integration can include tooling, control interfaces, network changes, guarding, site preparation and testing. These should be distinguished from the purchase price.

Ongoing operating costs can include supervision, maintenance, spares, software and training. Commissioning and post-handover support are scoped services, not automatic inclusions. Decide who owns each responsibility before procurement.

Agree how the installed system will be tested, what information operators need and which limitations must be recorded. A staged acceptance process can separate equipment receipt from successful operation in the intended environment. If task suitability remains uncertain, discuss a bounded pilot before committing to a wider purchase.
